		+	When selecting a note or a text applying to a system / sub-system, the ''Systems'' table appears below the ''Notes'' table as shown in the following example:

		+	The ''Systems'' table lists the systems and sub-systems contained in the current offer. The Smart Quotes user should select the system or the sub-system for which he/she wants to define a text or a note. If a system has sub-systems, the text or the note must individually be entered for the system and each sub-system.

		+	| Texts and notes defined in this menu can only be printed out in Word documents with OLE tags. Refer to the administrator if such documents are missing or if the defined texts and notes do not appear in the [[Description of the Menu Document#Generating Documents | generated documents]].

		+	A default text may already be available for the texts or the notes. This means that this pre-defined text (or template) has been defined by the administrator.

		+	To edit a text or a note, the Smart Quotes user must first select an entry from the ''Notes'' table then, if necessary, an entry from the ''Systems'' table before clicking on the ''Edit'' button. The ''Notes'' window opens as shown in the following example:

		+	Above all, the Smart Quotes user must pay attention to the language selected in the drop-down menu on the right-hand side. The administrator may have defined template documents in several different languages. Therefore, a text defined in this window for a selected language could only be integrated in documents in the same language. For example, a text defined in the ''Notes'' editor window in French could not be integrated in an English document due to language incompatibility.

		+	Then the Smart Quotes user can edit the text using the standard editing and formatting buttons at the top of the window. The following buttons are available:

		+	* the copy button
		+	* the paste button
		+	* the font selector drop-down menu
		+	* the font size selector drop-down menu
		+	* the font color selector drop-down menu
		+	* the bold button
		+	* the italic button
		+	* the underline button
		+	* the strikethrough button
		+	* the align left button
		+	* the center button
		+	* the align right button
		+	* the justify button
		+	* a button to browse and import an ".RTF" file
