| The Notes table displays the various notes and the texts that have been made available by the administrator.
| |||
| The following icons determines at which level (i.e. offer or system) the note or the text applies to:
| |||
| {| style="border-collapse: separate; border-spacing: 0; border-width: 1px; border-style: solid; border-color: grey; padding: 5"
| |- | ||
| |style="border-style: solid; border-color: grey; border-width: 0 1px 1px 0" | [[File:OfferIcon.png]]
| |style="border-style: solid; border-color: grey; border-width: 0 0 1px 0" | Offer level
| |- | ||

| |||
| The systems table lists the systems and subsystems contained in the current offer. This to allows the Smart Quotes user to select the system or the subsystem for which he/she wants to define a text or a note.
| |||
| |||
| {{Note | ||
| | Texts and notes defined in this menu can only be printed out in Word documents with OLE tags. Refer to the administrator if such documents are missing or if the defined texts and notes do not appear in the documents.
| }} | ||
| |||
| |||
| To edit a text or a note, the Smart Quotes user must first select an entry from the Notes table then, if necessary, an entry from the Systems table before clicking on the '''Edit''' button. The Notes window opens as shown in the following example:
| |||
| |||

| |||
| Above all, the Smart Quotes user must pay attention to the language selected in the drop-down menu on the right-hand side. The administrator may have defined documents in several different languages. Therefore, a text defined in this window for a selected language could only be integrated in documents in the same language. For example, a text defined in the window in French could not be integrated in an English document due to language incompatibility.
| |||
| Then the Smart Quotes user can edit the text using the editing and formatting buttons at the top of the window. These buttons are standard. The following buttons are available:

| * the spelling checker
| * the cut button | ||
| * the copy button | ||
